Accidental Damage Waiver
The fee for accidental damage waiver is 12% of the total rent. Accidental damage waiver is available on all equipment if you select this option in advance. This optional charge is accepted or declined by the customer. If accepted, we will add 12% of the rent to the ticket and you will not be responsible for accidental damage done to our equipment. If declined, there is no extra charge, however, you will be responsible for repairs or replacement due to accidental damage. Accidental damage does not include loss, theft, or vandalism. If Lessee pays the accidental damage waiver charge, subject to the limitations and exclusions below, Lessor agrees to modify the terms of this contract and relieve lessee of liability for accidental damage to the items rented on this contract. Excluded from this waiver are loss and damage due to theft, abuse, theft by conversion, intentional damage, mysterious disappearance and loss or damage resulting from any improper, negligent or careless operation of equipment. If Lessee has insurance for the loss or damage Lessee agrees that this insurance shall be considered to be the primary insurer and Lessee shall himself exercise and shall empower lessor to exercise all rights available to Lessee to obtain recovery and all insurance shall be given or assigned to Lessor. Fee for Accidental Damage Waiver is 12 % of total rent.
Cancellation
A deposit of 1/2 of the rent will secure items for the date of your event. This is a non-refundable, non-transferable charge. We will remove the items from the market so they are no longer available to anyone else for the date of your event. If your reservation is cancelled more than one week from the date out, for any reason, you will forfeit 1/2 of the minimum rent. This cancellation fee also applies to individual items cancelled from a reservation, regardless of whether other items are added. Change of date is a cancellation. Rental items cancelled one week or less from the date out will be charged 100% of the minimum rent. Cancellation of services, (delivery and pick up - including change of date, set up and take down, carry fees, on time/after hours del/pick up, etc.) two weeks prior to the date out will result in the full amount being charged, as these services require adequate labor that is scheduled in advance. Cash, check or credit card may be used for a deposit. Prices listed and advertised reflect cash/check payment and include a discount of 3.25%. The remaining balance is due one week prior to the event.
Canopy/Tent Policy
Our crews work very hard to make your tent attractive, safe and in compliance with all federal, state and local codes & regulations. No matter the time of year, the possibility exists that bad weather may prevent the set up of a tent or may bring down a tent once it has been set up. When planning an outdoor event, you should always have a back up plan in case of bad weather. Our canopy installers have the right to refuse the set-up of a canopy due to wind, electrical storm, or any other circumstance that would put people and/or our equipment in jeopardy. If this should occur, the full price for said equipment will be charged whether or not it is set up. Cancellation, 2 weeks prior to the delivery time, will result in our regular charge of 1/2 of the minimum rent for canceled items. Cancellation less than 2 weeks prior to the delivery time, will incur the full rental charges.
Tents reserved less the 2 weeks prior to the event will incur an additional fee. This fee is in order for us to secure last minute arrangements for permits, underground utility locate, concrete blocks for ballasting and additional labor. Client understands that tents are temporary structures, designed to provide limited protection from weather conditions, primarily sun and rain. However, there may be situations particularly those involving strong winds and lightning in which tents will not provide protection and may be damaged or blown over. Evacuation of tents to avoid possible injury is recommended when severe weather threatens the area where the tent is erected. People must leave the tents and not seek shelter in tents during such conditions. Special event insurance is available through most insurance companies to cover the considerable costs.
Care of Equipment
All china, flatware, food serving equipment, etc. is cleaned, sanitized and packaged in our store. It comes to you “table ready” for immediate use. All foodservice items must be left for pick up, or returned scraped and rinsed free of food. A $25.00 fee, per container, will be charged if items are not left in this condition. Special containers are provided with most of our equipment, please take care that they are returned. Instructions are included with most equipment.
Consultation
Professional consultation is available at no charge to help plan your event. This service may be conducted in our showroom, or by appointment at the site of your event.
Damaged or Lost Equipment
The Lessee agrees to pay for any damage to or loss of equipment, as an insurer, regardless of cause, except reasonable wear and tear, while equipment is out of the possession of the lessor. Accrued rental charges cannot be applied against the purchase or cost of repair of damaged or lost equipment. Equipment damaged beyond repair will be paid for at its replacement cost when returned.
Delivery Service
All deliveries and pick ups are tailgate, unless other arrangements have been made in advance. We require no less than a four hour window for delivery & pick up. On-time delivery or pick up is available for an additional charge. The on time del/pick up narrows the window to one hour. Delivery charges do not include the set-up or take down of any equipment. After hours pick ups will incur additional charges. These charges are in addition to our regular pick up and delivery fees. Call for quotes. So that we may accommodate you in a timely manner, please make arrangements in advance for any or all of these special services. The client should be available to count all items upon delivery and pick up, otherwise the counts will be considered accurate. Deposits
All rentals are paid in advance. A deposit is required for any item unless credit has been applied for and approved. Deposit may be in the form of cash, check, or major credit card. Prices listed and advertised reflect cash/check discount 3.25%.
Linens
Must be returned in the burgundy laundry bags provided. Be sure linens are dry and shaken of any remaining food or garbage to prevent mildew and irreparable damage. Do not pack wet linens as mold/mildew will set in. Be careful with candle wax as it will permanently damage linens. If linen is lost, torn or soiled beyond cleaning the replacement value will be charged in addition to the rental charge.
On Site Services
Client may retain the services of a Sandy's U-Rent employee during the event. Additional charges apply for this service.
Past due
Will be charged a Finance Charge computed by a single periodic rate per month at the highest rate allowed by law, or a minimum Finance Charge of $2.00. An account is considered past due when it has not been paid by the tenth day of the month following date of statement. The symbol FC precedes the finance charge. The present periodic Finance Charge rate is 1 1/2% per month which is an annual percentage rate of 18%.
Rental Rates
Prices are for one day events and allow for pick up a day prior and return a day following your one day event. Please specify if you would like long term rates. Whether you use the rented item or not you will be charged for time out, not usage.
To secure your reservation; we require a signed and initialed copy of your contract.

Set Up & Take Down
You may choose to have any or all of your rental items set-up and/or taken down by us. So that we may accommodate you in a timely manner, please make arrangements early for this special service. This service is available for an extra charge. Please call for prices.
Site Preparation
Be sure your site is ready before our crew arrives - sprinklers, (including underground) turned off, lawn mowed, vehicles moved out of the way, gates unlocked, etc. Secure animals, so they are not in the way of the delivery/pick up crew.
Sandy’s U-Rent is neither the manufacturer nor the agent of the manufacturer and no warranty against patent or latent defects in material workmanship is given. You assume all risks inherent in the operation and use of the rented equipment by you and anyone else. You agree to assume the entire responsibility for the defense of, and to pay, indemnify, and hold harmless from, and release us from, any and all claims for damage to property or bodily injury (including death), or for loss of time and inconvenience resulting from the use, operation or possession of rented equipment, whether or not it be claimed or found that such damage or injury resulted in whole or in part from our negligence, from defective condition of the rented equipment or from any cause. Collection costs, the lessee agrees to pay all reasonable collection, attorney's and court fees and other expenses involved in the collection of the charges or enforcement of the Lessor's rights under the contract. Should any suit or action occur, venue shall be in Walla Walla County, in Washington State.
